We spoke with Mérédith Vaillancourt, Business Analyst at Vaillancourt Doors and Windows, to better understand why they chose a gradual implementation of accounts payable automation software.
“We were familiar with Loginnove’s Viridem software since it had been referred to us. We planned to implement it eventually to modernize our operations, but the timing never felt right. When COVID hit, the timing became perfect. We had to reorganize quickly, very quickly,” explains Mérédith.
Remote work and home office setups were challenging for some departments at Vaillancourt Doors and Windows, which relied heavily on paper-based processes. “Our primary need was to enable teleworking without digging through filing cabinets for daily tasks,” continues Mérédith.
The Viridem team supported Vaillancourt in a step-by-step deployment of accounts payable automation software, helping the company reduce paper usage, streamline workflows, and centralize documents in a secure digital environment.
The transition to digital documents was carried out in phases to ensure smooth adoption. Speed was essential. Viridem software was introduced department by department, starting with sales, as it was simpler to implement. “We wanted to tackle the simplest and most effective areas first,” Mérédith adds.
This phased approach allowed the team to learn the software iteratively and ensure confidence in the solution. “Within a few weeks, the sales department was fully operational! Phase 1 was complete, and we were ready to optimize other departments,” she explains.
Following the sales department, accounts payable processes were automated, freeing the team from manual paperwork and archiving. “This shift allowed us to eliminate paper in our two largest administrative processes quickly. We prioritized simplicity to ensure fast deployment. Now, we can fully optimize processes and benefit from all the advantages of Viridem’s accounts payable automation software,” says Mérédith.
Currently, the software is used primarily for document archiving and approval workflows. With an in-house ERP team complemented by Loginnove’s expertise, Vaillancourt Doors and Windows is equipped to expand digital transformation and process automation across the organization.
“We are well-equipped and planning to push Viridem integration even further. Had we imagined the rapid implementation, we would have made the shift much earlier!” concludes Mérédith with a satisfied smile.
